The Bicycle Valet Assistant Program Coordinator

Six-month full-time contract position (35 hours per week) starting April 2, 2018. As the Assistant Program Coordinator, you will be aiding the Program Coordinator in executing all aspects of the program and transitioning into the Program Coordinator’s (full-time ongoing) role by September 2018.

Compensation: $17/hour, 10 days paid annual vacation time to start.

Organizational development and action:

  • Work with Program Coordinator and General Manager to develop and execute annual Workplan/Timelines in support of goals as established by General Manager for the Bicycle Valet.

  • With the General Manager and Program Coordinator, set personal performance goals

  • Organize The Bicycle Valet event planning and operations, with the exception of high level events as deemed by the General Manager, including:

    • Conducting site visits with event coordinators

    • Conducting staff and volunteer recruitment, training, coordination, management and recognition

    • Maintaining equipment, vehicles, and all materials

    • Acting as the primary site coordinator and on-call staff member, including supervision of volunteers and casual staff at events, ensuring performance standards are met, delegating roles at most events

    • Ensuring information collection from draws is at optimal levels and that data is entered on BEST data base in timely way.

    • Ensuring accurate records are kept at every event

    • Ensuring donation funds are documented and returned to office for deposits.

    • Writing annual Final Report for all funders and sponsors as well as key partners.

  • Perform other tasks as assigned by General Manager

  • Manage and coordinate BEST Memberships


  • Maintain good relationships with all fundersHelp with sponsorship development under the direction of the General Manager

  • Monitor, review, and meet The Bicycle Valet revenue targets for sales and events, with guidance and direction from General Manager, and sponsorship development support from the Resource Development Officer

  • Ensure funded deliverables are on time

  • Manage expenditures within approved budget

    Provide overall guidance and approval for levels of prizes, contests and other support to patrons, in collaboration with other BEST staff

Community Liaison:

  • Assist with media relations

  • Coordinate all communications, promotions, and marketing for all outreach regarding events during The Bicycle Valet season, including posting social media updates in a timely manner

  • Maintain and update The Bicycle Valet web page with current content

  • Prepare monthly BEST newsletter story

Human Resources:

  • Hire, assign, supervise, evaluate, and releasing The Bicycle Valet casual staff and summer co-op students

  • Maintain and update annual training manual for The Bicycle Valet co-op students, casual staff, and volunteers

  • Ensure full and appropriate training for co-op students, casual staff, and volunteers

  • Organize volunteer and staff recognition activities and prizes, with support from other BEST staff

  • Ensure bookkeeping has all required information for payroll and CRA for all casual staff



  • Strong customer service skills

  • Experience working on a tight schedule, able to prioritize tasks

  • Experience in leadership or management roles

  • Strong multitasking and organizational skills

  • Attention to detail

  • Strong communication skills

  • BC Class 5 or 7 Drivers Licence, comfortable driving large vehicles

  • Able to work independently and as part of a team

  • Physically able to work long days, lifting heavy items

  • Comfortable with public speaking

  • Able to problem solve, learn on the job, think on your feet

  • Experience using multiple social media platforms (Twitter, Instagram, and Facebook)

  • Basic knowledge of Microsoft Office and Google Drive office suites

  • Able to work some weekends and have a flexible schedule


  • Degree in a relevant discipline (such as Geography or Urban Planning)

  • Experience planning events

  • Experience working with funders and sponsors

  • Experience training new staff or volunteers

  • Experience working in an office setting

  • Basic knowledge of WordPress

  • Experience using a CRM database such as Salesforce

  • Graphic design or photography experience

  • Likes bicycles!


  • Be unemployed or under employed (working less than 20 hours a week)

  • Have not had an Employment Insurance Claim which ended in the past 3 years or a Maternity / Parental EI Claim which started in the last 5 years

  • Currently not on an Employment Insurance Claim

  • Be between the ages of 18 and 30 (inclusive) at the time of intake/selection

  • Canadian citizens, permanent residents, or persons who have been granted refugee status in Canada

  • Be legally entitled to work according to the relevant provincial/territorial legislation and regulations

  • Not be a full-time student or co-op student

  • Be able to commit to a full-time job placement
